    Two Simple Questions that Lead to Systems Success

    When it comes to building a business that grows without grinding its owner into the ground, systems are the secret. Business Blueprint Founder Dale Beaumont, recently shared an exclusive member presentation that explained exactly why systems matter—and how to decide where to start.

    “You don’t rise to the level of your goals,” said Dale. “You fall to the level of your systems.”

    The True Value of Systems

    For many business owners, the idea of systemising feels like extra work. But Dale explained that systems don’t slow you down—they set you free. They allow you to work on the business, not just in it.

    Consider this: According to research Dale shared from McKinsey, staff spend an average of 19% of their time—essentially one full day each week—looking for information on how to do routine tasks. That’s time lost to confusion and inefficiency.

    With a proper system in place, an employee doesn’t need to interrupt a manager to ask how to send an email campaign or build a landing page. They simply search for the task and follow the standard operating procedure.

    But the benefits don’t stop there.

    Systems Reduce Costs and Increase Business Value

    Staff turnover is a significant cost. It can take $20,000–$30,000 and three to six months to replace and re-train someone effectively. With strong systems, that onboarding process can be cut down to just one or two weeks. You’re not starting from scratch—you’re picking up where the last person left off.

    Even more compelling is how systems increase your business’s value. If your company normally sells for two or three times EBITDA, having thorough systems can increase that to four, five or even seven times.

    Buyers pay a premium for businesses that can run without the owner. The more you can remove yourself from daily operations, the more attractive your business becomes.

    Two Fixed Mindsets that Kill Business Growth

    Dale also addressed two destructive beliefs that stop people from systemising. If you ever think the following, you’re holding your business back.

    1. “No one can do it as well as I can.”
    2. “It’s faster if I do it myself.”

    These mindsets keep you stuck. If you believe you’re the only one who can do the job, you’ll be doing everything forever. Dale reminded us that “80% done by someone else is 100% awesome.”

    Start by letting go of tasks that others can do, and focus on refining your workload over time by creating systems so someone else can take over.

    Even presenting at live events—something Dale thought he could never hand off to a team member—has now been systemised and delegated. It’s not about perfection. It’s about progress and leverage.

    How To Choose What To Systemise

    So, what should be systemised in your business?

    The best place to start is by asking the magic question:

    “Will I ever have to do this again?”

    If the answer is yes, build a system. Most of your business tasks—up to 90%—are repeatable. Even if they take just a few minutes to document, that small investment can save you and your team hours in the long run.

    Start with tasks that are low-risk and frequently repeated. Booking appointments, sending invoices, posting content on social media—these are great places to begin.

    If you’re a surgeon or consultant in a niche area, you may not be able to systemise the high-level tasks straight away, but there’s always admin, client onboarding and follow-up processes that can be handed over so you can focus on adding value to the business.

    You don’t need to build an old-school instruction manual either. Tools like Loom allow you to record your screen and create video systems that people can watch in five minutes (then pause, rewind and watch again if they need to). AI then transcribes that into a written Standard Operating Procedure, which will save even more time.

    Systems Make Everyone More Valuable

    Team members shouldn’t fear systems—they should embrace them. When routine work is systemised, it opens up time to solve new problems, build campaigns and help the business grow. Far from replacing people, systems elevate them.

    From your team’s perspective, they should be saying, “Teach me something and I’ll turn it into a system.” It’s one of the best ways to impress a manager and show initiative.

    Systems aren’t just about structure—they’re about scale. By reducing errors, saving time, and enabling growth, they become one of your most powerful assets. And once everything’s documented and delegated, you might even be able to take that long-overdue holiday.
